Privacy Policy

What we collect, why we collect it, and what you can ask us to do with it.

1. Information We Collect

We collect the information you give us when you create an account and use the service: your name, email address, business name, contact details, and billing information. Payments are processed by Lemon Squeezy, which acts as our merchant of record; your card details are handled by Lemon Squeezy and are never stored on our systems.

We also collect the customer records you add to Matter to Us — names, phone numbers, the service they received, and the feedback they leave — because the product cannot track experiences or recover unhappy customers without them.

Finally, we collect basic technical information automatically: your IP address, browser and device type, and how you move through the product. We use this to keep the service working and to understand which parts of it are used.

2. How We Use Information

We use your information to provide and operate the service: sending text messages to your customers on your behalf to ask about their experience and to request reviews, analysing the feedback they send back, producing your dashboards, and supporting your account.

We use it to bill you, to notify you about changes to the service, and to respond when you contact us. Where you have asked for them, we use it to send product updates.

We do not sell your information, and we do not sell or rent your customers' information to anyone.

3. Data Storage and Security

Your data is stored on servers operated by our infrastructure providers and is encrypted in transit and at rest. Access is restricted to the people who need it to run and support the service, and that access is logged.

No system is perfectly secure. We take reasonable technical and organisational measures to protect your information, and we will notify you without undue delay if a breach affects your data.

4. Third-Party Services

Matter to Us works alongside services you choose to connect — Google Business Profile, and CRM or automation tools that send us customer updates by webhook — and passes data between them and your account only as needed to provide the integration you enabled. Customer lists you upload as Excel or CSV files are read to create your customer records.

We also rely on providers for hosting, SMS delivery, payment processing (Lemon Squeezy), email delivery, and analytics. Each is bound by contract to handle your data only on our instructions. Disconnecting an integration stops any further exchange of data with it.

5. Text Messages

Matter to Us sends text messages (SMS) to the customers a business adds, on that business's behalf: a message after their service asking how it went, follow-up messages based on their reply, and an invitation to leave a Google review: straight away if the experience went well, or after the business has resolved any problem the customer raised. We do not use those phone numbers to market Matter to Us or anyone else, and we do not sell them.

Phone numbers and message content are shared with our SMS delivery provider and the mobile carriers only to deliver the messages. Anyone who receives a message can reply STOP to stop receiving them, or HELP for help. Message and data rates may apply.

Businesses are responsible for having a lawful basis to contact the customers they add.

6. Google User Data

If you choose to connect your Google Business Profile, we ask for your permission on Google's own consent screen to use the Google Business Profile APIs. With that permission we read your Business Profile account and location details and the reviews on your location: the star rating, review text, the reviewer's display name and profile photo link, and any reply you have already posted. We use this to show your reviews, ratings, and trends in your dashboard.

We only read this information. We do not post, edit, or delete reviews, replies, or business information on your behalf.

The authorisation token Google gives us is stored encrypted and is used only by our servers to keep your reviews up to date. It is never sent to your browser. Reviews we sync are stored in your account with the rest of your data and are covered by the retention terms below.

We do not sell Google user data, use it for advertising, or transfer it to anyone except as necessary to provide this feature or to comply with applicable law. Our staff do not read it unless you ask us to for support, it is needed for security, or the law requires it.

You can disconnect Google at any time from Settings, Integrations. Disconnecting stops further syncing and deletes the stored authorisation token. You can also remove Matter to Us's access at any time from your Google Account permissions page at https://myaccount.google.com/permissions.

Matter to Us's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements: https://developers.google.com/terms/api-services-user-data-policy

7. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, and measure how the product is used. Essential cookies are required for the service to function.

You can block or delete cookies in your browser settings. If you block essential cookies, parts of the service will not work.

8. User Rights

You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. You may also object to certain processing or ask us to restrict it.

You can download your review and service-recovery reports from the product at any time, and you can ask us for a copy of your customer data. To make that or any other request, contact us using the details below; we will respond within the period required by the law that applies to you.

9. Data Retention

We keep your account data for as long as your subscription is active. When you close your account we delete or anonymise your data within 90 days, except where we are required to keep records — billing records, for example — for longer.

Backups are retained on a rolling schedule and are overwritten in the ordinary course.

10. Changes to This Policy

We may update this policy as the product changes or as the law requires. When we make a material change we will update the date at the top of this page and notify account holders by email before the change takes effect.
